Take a Peek into Our Process: How We Check-In Orders

Thursday, May 28th, 2009

Hi, I’m Kiley. One of the many hats I wear at work is that of the inventory/check-in person. I’m actually the first person to see your cherished memories when they arrive here. Thousands of ScanDigital orders arrive at our facility in El Segundo, California each year and it’s my job to make sure everything in these boxes are inventoried and accounted for. See below for a detailed peek into our check-in process.

First, check out the video of me checking in an order here:

Step 1- UPS delivers your order to our facility.

Before we get to the actual inventory process, let me explain our shipping process. It starts with our ScanDigital website, which is fully integrated with UPS. When you place your order, a UPS shipping label is generated. You can then print out and use the label when you’re ready to ship. This provides you with a tracking number for the package, which is also cataloged in our system to fully track your package while on route to our facility.

Step 2- Open each package and put in separate sealed containers.

Similarly, the first thing I do when packages arrive is to grab plenty of plastic containers. When I open a package, I instantly empty the contents into a separate container, which ensures each order is properly inventoried separately.

The packages we receive at ScanDigital come in different shapes and sizes. Whether it is a large box, a round tube, or a padded envelope, I always make sure to open it very carefully. I’ve seen photos get stuck in the corner of large manila envelopes and slides jammed under the box flap, so it’s very important to take great care in ensuring the materials remain unharmed and nothing is left behind. Also, if a customer has arranged their photos in a certain way, I am careful to keep that organization when lifting the entire package into the container.

Step 3- Put a name tag on the container for easy tracking.

Then, I put a name tag on the container, allowing for easier tracking within our facility. The name tag includes all the order information including the customer name, the order ID, the date received and the date due.

Once checked in, is trackable on our site. To view the current status of an order, customers can login to their ScanDigital account at anytime. Our EssentialTracker System allows you to see exactly what stage your order is in through all of our 13 steps including check-in, scanning, editing, finalizing, and shipping stages.

Step 4- Inventory the material in each package and enter information into our system.

Once I complete double-checking the box the materials arrived in, I begin the process of entering the order’s details in our system. First, I search by the customer’s last name on the box, or by the order ID provided in the order confirmation sheet included inside the package. Then I fill out the form with the exact count and format of the materials, as well as enter any additional instructions written by the customer. An accurate form is most important, as everyone from the scanners to the editors will use it as a reference while they work.

While customers don’t have to include notes or a set of instructions, they are welcome to in order to make sure we process the order exactly how the customer intended. While checking in each order, I also copy any specific instructions in our system to assure every request is noted.

Step 5- Print order details to include within the container.

The very last step of the process is to print out a hard copy of the form. This will be included in the container with the materials for the scanners to fill out and refer to. As soon as the container is properly inventoried and tagged, all that’s left is to deposit the container into the backroom, ready for the scanners to start work.

New Life For Old Memories: 5 Reasons You Should Be Organizing and Preserving Your Memories

Friday, April 24th, 2009

We all have them somewhere…boxes and boxes full of old photos and home movies…simply sitting in a dark closet or attic, gathering dust, cluttering the room and, perhaps worst of all, not being enjoyed by everyone.  The beauty of the digital age is that old memories no longer need to be relegated to some messy box.  Converting the materials to digital is not only a space saver, but also ensures that those precious moments will be preserved for future generations!

Here are five reasons why you need help preserving those memories:

1. Goodbye Color, Hello Faded Memories – The longer photographic materials and home movies are sitting, the more the color is fading.  Unfortunately, the materials in their original state do not last forever, it is simply a natural part of the aging process- the color is bound to fade and shift with time.  Storing the materials in a dark place at a moderate temperature may slow this process, but won’t stop it.  Add some sunlight in the mix and the fading can occur even more dramatically. Your photos and home movies are deteriorating for a number of reasons and there’s only one thing you can do about it.  To guarantee your family’s archived memories are preserved, they need to be converted to a digital format.

2. Mother Nature Takes No Pity on Precious Memories – Your archive of photos and home movies may be seemingly safe in the shoeboxes in a closet or basement, but chances are they won’t be for long.  Accidents and unforeseeable things, such as floods, fires and other uncontrollable forces of Mother Nature, pose a threat to photos and home movies.  The originals of can never be replaced.  Once the original captured memory is lost, it’s gone forever.  I also encourage a duplicate backup of all digital photos and home movies. Unlike the physical material, digital copies do last forever.

3. Who Said Memories Need to Be So Bulky? – Digital photos and video take up no extra space or require any extra room. Their analog counterparts on the other hand create quite a cluttered mess.  All those old camcorder tapes occupy valuable closet space.  Stacks of photo albums can occupy entire shelves.  Old slides, negatives and film reels can be messy.  Compare that to digital images and movies which easily fit on discs or on compact hard drives – an instant space saver!

4. VCR? Slide Projector? – Unfortunately terms that were once part of our everyday language have gone to the technology graveyard.  Even if your materials are in pristine condition, there is a good chance that the machine used to view them is either already obsolete or will be in the next five years.  Digital conversion unlocks these memories and brings them into a format where they can easily be viewed.

5. Send, Share, Create! – Digital technologies have opened up so many new possibilities for our prized memories.  Digital photos can be turned into a canvas print or a photobook in a snap.  We can edit and upload our videos to YouTube in minutes.  Relatives from all over the world can access and share their favorite photos with friends.  Gone are the days of those photo albums with sticky plastic pages or the evening slideshow in the living room.  In this new digital age things are far more accessible.  There is no reason those old memories shouldn’t be enjoyed the same way!

Geek Girlfriends Giveaway Winner

Tuesday, April 14th, 2009

Being a dedicated Geek Girlfriends blog reader really paid off for Maureen Houtz- she won a ScanDigital gift card! After entering the giveaway, she was very hopeful that she’d win the gift card because she says, “I’ve been struggling with boxes of photos for some time now.” She always wanted to get this project started the right way and had her fingers crossed.  Lucky for her, she won!

Now Maureen, Marriage and Family Therapist and owner of CornerOffice from Ventura, California, found the solution she’s been searching for to organize and preserve her old boxes of photos. She always felt overwhelmed with the thought of tackling this project, but knew the importance of doing so.  Fortunately, ScanDigital was to her rescue!

When she dug out her old boxes and began sorting through them, Maureen felt her lack of organization would be a problem. She never put her photos in albums and arranged them, but can now skip that step altogether. With our service, it’s as easy as drag-and-drop. Seeing how easy it is to reorganize her newly digitized images, Maureen is relieved to know that it’s not too late to get her memories in order.

In the past, she had tried scanning some old photos herself but grew frustrated with the time it took as well as the lack of quality she was able to produce. Every time she’d go back to do a little more scanning, she’d find herself confused and would have to re-teach herself how to use her equipment. She had given up. That’s why she was so happy to learn about ScanDigital and then given the opportunity to try our service.

Maureen was thrilled with our service and anticipates sending us more material soon. She used her gift card to convert some of her own baby photos to digital format and found the process very easy and enjoyable. She also plans to send in her Mother-In-Law’s reel to reel film as an 80th birthday present. These reels date back to the 1930’s and she wants to enjoy them together as a family.

Maureen has being visiting Geek Girlfriends since its inception because she finds it fun to learn about new gadgets. The site provides witty ideas on how the average person can implement a little tech in their lives. It’s a place for people who like technology but need a little guidance keeping up to speed. We’re happy that owner of Geek Girlfriends and author of new book How to Be a Geek Goddess, Christina Tynan-Wood sees the value in ScanDigital’s service and offered a gift card to her readers.

Turn Old Photos Digital

Christina Tynan-Wood on Jan 13 2009

Dear Geek Girlfriend,

I have a question that I assume others have as well. I’m older than the “fully digital era” of kid photos and am jealous of my young friends whose kid photos are all digital. They are able to make lovely photo books from their photos. They don’t have huge plastic tubs full of prints cluttering up the house. All my photos are prints. Do I have to scan each one and submit upload the scan to one of those these online photo storage places? Tell me there is an easier way?

Jealous

Dear Jealous,

Of course there is an easier way! In fact, I’m in the same boat you are in. When my kids were all adorable and pink, I used a film camera. So I have boxes of prints and an embarrassing quantity of undeveloped film. Even my home movies are on old formats I can no longer play.

Oddly enough, there is an easy solution for the undeveloped film. Sites that invite you to upload digital photos, will often also develop film for you, store digital photos on their site, and send the negatives back to you. (This is also great if you buy one of those disposable cameras on vacation.) I used these services back when digital cameras were a luxury when my kids were young. But Shutterfly.com, for one, still does this.

Prints are a bit more trouble because someone will have to scan those. Some scanners are better than others, though. Big professional scanners can do a pile of photos at once. Some will scan negatives. Those are both easier options than doing each print by hand. But I’m assuming you don’t have one of those scanners. There may be a photo service in your area that will do this for you but who wants to leave the house? (Okay, that might be just me.)

Check out ScanDigital. This place is exactly what you have in mind. From the Web site, generate a shipping label and slap it on a box. Then drop your photos in that box and ship it off. When your photos (or videos) arrive at ScanDigital they will be professionally spiffed up (yes, that’s the technical term), scanned, and uploaded to the Web. Then your prints will come back to you with a digital copy—you decide if you want them on DVD or hard drive. The service is not cheap. But I guess memories aren’t cheap either — especially when they are memories of kids. It will cost you $.48 minimum per print. Bulk packages start at $89.95. (Use this coupon code — 2029196172 – so they know I sent you.)

Since most of us probably have some photos lying around that we would like to bring into the digital age, I contacted Scan Digital to arrange a giveaway. And they were happy to do it! So I have $50 of ScanDigital service to give away! Thanks Pamela!

This contest closed on January 31, 2009. Congratulations Maureen!

Easy Ways to Organize Your Photos and Home Movies

By Chantale Bordonaro

Organizing digital photos and movies can rapidly become a very daunting task if you are like many of my clients and just keep them on the memory card forever! Off course, you can click away and just purchase a new memory card once the first one is full…. But remember that the idea is to enjoy those memories and to share them, right?

Here are some easy tips on how to start organizing your digital special moments:

First Step:

1-   Temporary holding folder:

Every couple of weeks, download your memory card onto your computer in a temporary holding folder name “photos to sort “ on your desktop.  If you have time now, start picking your favorites.

2-     Keep the best ones!

Eliminate the clutter; delete the ones too dark, the ones where mom is missing her smile; be tough just like you were when you delete the papers ones. Even though digital does not take as much space, you still want to control the flow.

3-     Rename your photos and movies:

Be descriptive and consistent!

4-     Tag your photos with key words (or names of people in them)

Second Step:

Initial purge done! Now you want to move the photos and videos to their permanent home in My Pictures.  But wait!  That’s where the system really becomes important for future retrieval.

1-     Create detailed subfolders:

The easiest way is to create subfolders under My Pictures.  Decide on the structure based on how you would usually look for them. Would you try to look by year, by event, by location, etc? For me, I like to create names like 2009-11 Luca 3rd birthday party or 2009-01 New Year Celebrations

2-     Use numbers to replace actual month

Notice the number after the month? It makes it easier then actually writing January or November, as now the folders will actually be sorted chronologically.

3-     Moving time!

Once the folders are created, just moved the pictures or movies in the right one. Voila!

Couple more top tips:

1-     Use Tags to mark photos that will need some touch-ups (those can be done later)

2-     Don’t be afraid of using software to help you stay organize. You have plenty of free options out there from Adobe Photoshop Album, Picasa from Google, IPhoto, or IView.

3-     Archive, archive, active!

Burn CD or DVD of your photos and video once you downloaded them. Schedule weekly back-up of your files on an external hard-drive. Also, you can back up your photos online on websites such as ScanDigital.com.

With couple of easy steps, you will be able to go back down memory lane with only couple of keys to push and a lot less frustration! Who knows, next, you might even start creating albums online to share with friends and family!

NAPO Organizing Awards

Tuesday, February 3rd, 2009

Hollywood hosts an array of award shows this season, and last Friday was no different with NAPO’s Organizing Awards. However, I was lucky enough to actually attend! ScanDigital is a member of the National Association of Professional Organizers (NAPO), as we help to archive and organize photos and home movies, so Anderson and I decided that was reason enough to attend the Red Carpet Gala. Twist my arm, will you? I love my job!

When NAPO said ‘Red Carpet Gala,’ they meant it. Anderson and I arrived at the beautiful Luxe Hotel in Bel Air, California, walked down the red carpet, admired everyone’s fancy attire, and took tons of photos. Check out Anderson striking a pose!

Luckily, we were also able to get a shot with friend Jodie Watson, award recipient for ‘Best Organizing TV Show’ for her Organizational expertise on TLC’s hit show ‘Real Simple. Real Life.’

Once we arrived, we saw lots of our friends and familiar faces. Everyone at NAPO has always been so welcoming to us. Especially Chantale Bordonaro, NAPO-LA Director of Membership, and John Trosko, NAPO-LA President. Both were also award winners that evening- Congrats!

Luckily, we even got to and meet new people from chapters all over the country. Anderson and I actually sat at a table with people from NAPO’s San Francisco chapter. They were so warm and welcoming, even inviting us to their chapter meeting. Just may be taking them up on that offer soon!

Like any red carpet gala, there was no shortage on celebrities. Comedian Hal Sparks, former host of “Talk Soup” on E! Entertainment and star of the Showtime series ‘Queer As Folk,’ hosted the event. He was hysterical, especially when he brought humor to his experience working with his own professional organizer. Presenters included actor Christopher Knight, ‘The Brady Bunch,’ Sam Saboura, ‘Extreme Makeover,’ Gia Russo and Jodie Watson, ‘Real Simple. Real Life;’ Dorothy Breininger, “Dr. Phil,” Linda Koopersmith, “Clean House,” Monica Ricci, “MISSION: Organization,” among others.

One highlight included a live performance from a woman singing her original Organizing themed song. Listen to a clip that I recorded below. It was hilarious! “I fell in love with the man with a label maker…” Haven’t been able to get those words out of my head since! Click Here to View Video

I had such an amazing night. There’s only one more thing I could have wanted- for ScanDigital to have won the ‘Best Organizing Technology’ award. But hey, there’s always next year!

How to Avoid Mom’s Brussels Sprouts This Christmas – ScanDigital iReport Review

Monday, December 15th, 2008

One of our customers, Gwen Arthur, recently wrote about her experience for the CNN iReport.

After Gwen’s mom took out the old shoeboxes of photos again this Thanksgiving, she realized how tragic it was to see her family’s deteriorating memories. So this holiday season, she decided to give her mom a sentimental gift by converting all of their old memories into digital format with ScanDigital. Gwen Arthur wrote about her experience using our service in ‘How to Avoid Mom’s Brussels Sprouts This Christmas’ on iReport.com.

Read her review below: How to Avoid Mom’s Brussels Sprouts This Christmas – by Gwen Arthur

Over Thanksgiving, like every year, mom busted out with the old shoeboxes of family photos collected through the years. Lots were dog-eared and faded, showing their age as much as the hairdos and clothes we were wearing in the pictures. It was tragic to think our special memories were fading away! I immediately thought there has to be something we can do to properly preserve our precious memories before they fade as badly as grandma’s recollections.

That’s when I did some digging and came across a fantastic new company called ScanDigital, www.scandigital.com. According to their site, ScanDigital professionally scans, crops and color-corrects slides, photos, videotapes, reel-to-reel films, scrapbooks and photo albums then uploads them onto a password-protected online gallery for sharing, organizing and long-term preservation. Originals are returned along with a CD or DVD.

With the holidays quickly approaching during such uncertain times, I’d thought long and hard about meaningful, easy and cost-effective gift ideas for my family and close friends. I was looking for the perfect sentimental gift, especially for mom, so I gave ScanDigital a shot and things went as smoothly as advertised.

They did all of the work for me and the turn-around time was great! The website automatically generated a UPS label for shipping to their LA headquarters. All I had to do was print out the label and ship the photos and tapes. I could even track the process of my order with their online tracking system. Compared to the sneaking around to get photos and videos from my mom’s house, ScanDigital was a snap.

While I was waiting to get my digital images back, I spread the word about ScanDigital to my friends in ‘tornado alley’ as well as to my LA-based friend Karen, who, with the most recent fires, had a bit of a wake up call about the importance of preserving photos and documents in a potential disaster zone. The bonus for her is that ScanDigital even offers a pick-up and delivery services for those in the LA area.

This Christmas day, I am looking forward to the look on my mom’s face as I break out the old home videos and pictures of Christmas’ past. This time we’ll be watching on the TV from the DVDs from ScanDigital. When we’re done and I show her how to log on to my ScanDigital account and show her the photos in the online gallery, I’ll probably spend the rest of the day in the kitchen. Usually mom cooks but I bet my surprisingly tech-savvy mom spends the rest of her day in front of the computer. Wait – this is good! She won’t be able to make her Brussels sprouts, another one of her less-appealing traditions.

Hmmm … I wonder if I can send ScanDigital her box of recipes, minus a few.

Merry Christmas!

ScanDigital Updates

Friday, July 18th, 2008

There are a few new things that we are happy to introduce this month to our customers. We are always in the process of developing new ways to improve our service on all ends to offer the best digitization services on the market.

Large Flatbed Scans – ScanDigital is now offering scans up to 12.2”x17.2” in either 300dpi or 600dpi. By adding this service ScanDigital will be able to offer high quality full scans of large photos, newspaper clippings, artwork, album pages and scrapbooks. By capturing the entire image in one scan the quality is far superior to having to “stitch” different images together in an editing program. The pricing at 300dpi and 600dpi is $1.88 and $2.88 respectively and is relatively inexpensive when considering that elsewhere the price is upwards of $6.00 a scan. For those of you who scrapbook this option is a great way to protect and share your cherished hard work.

Capzles Partnership – ScanDigital is proud to announce that we have partnered with Capzles.com, an innovative new photo and video sharing site that lets users design their own timelines. Capzles’ amazing new flash technology allows for users to fully customize their timelines and seamlessly integrate photos, videos and blog entries. Check them out at www.capzles.com.

ScanDigital Growth – Over the past year ScanDigital has added more than 15 new employees to our skilled and dedicated team. Our experienced and highly trained team has been integral in helping ScanDigital become the industry leader in both quality and turnaround time. Each new member brings with them ideas and experience that have helped us improve all aspects of our business. By adding our great team members we are able to meet the ever increasing demand for our services while maintaining the quickest turnaround time. Also, you can rest assured that all their materials are being handled with the upmost care by trained professionals who are dedicated to providing you with the best possible images.

ScanDigital Helps Organize the Clutterbugs!

Wednesday, May 21st, 2008

ScanDigital has recently been working with many home organizers in the effort to help simplify the lives of their clients. Most of us have a system of storing our photos, slides and negatives that is somewhat similar; partially labeled and piled up in a closet somewhere. You may be the only one who is even able to decipher what is where. Now, with the help of ScanDigital you can store those images away neatly and have full access to your images on disc and online anywhere in the world (even organized into folders no less!).

When sending their collection of images and movies into ScanDigital, customers can label there rolls of film, carousels of slides and photo albums so that those same names and groupings appear when viewing them on your computer. ScanDigital’s scanning service means no more searching for twenty minutes to find those photographs from that great vacation 10 years ago. After sending them to ScanDigital they will be right at your fingertips, in high quality and digitally enhanced.

Along with the digitally organized images ScanDigital offers a digital photo frame that we will preload for the customer with their newly scanned images. These photo frames look great and are good space savers as you can rotate through many images on the same frame. The photo frames also make perfect gifts for loved ones.

I recently took a large bin of images out of my parent’s house and had them processed at our El Segundo facility. Because of our great turnaround time I was able to put the bin back before my mom even noticed it was missing. When I gave her the DVD loaded with all the images in labeled folders she was thrilled. It was great to see her reaction as she was amazed that our slide scanning and editing restored old slides that she was sure were faded beyond repair.  She had forgotten what was even in the bin in the first place and now she is enjoying her images and the bin has been put into storage!
